Request for Proposal


A consortium of professional organizations representing the disability community have directed this steering committee to solicit bids for a combined conference. We request that you consider the parameters outlined below and submit up to two bids ([1] commission, [2] no commission) for consideration. The deadline for bids is March 31, 2009. Please submit your bid(s) through the agent who has contacted you in regards to this solicitation.

Parameters

  1. Preferred Context: Conference center, hotel self-contained or in very close proximity; ADA compliant, disability friendly; Southern latitude (warm) with reasonable expectation for clear weather; Easy access by air (hub +1 flight); with some local attraction for evening outings. Special consideration is given to hotels franchises that have been corporate leaders in serving and employing people with disabilities.
  2. Dates: February 15 – March 15, 2011
  3. Attendees: approximately 600
  4. Room rate: $160 median; negotiating better rates while sustaining quality is important.
  5. Conference rooms: 10 X 60 occupants X 2.5 days
  6. Attendance: 4-5 total days, Wednesday through Sunday; 2.5 days for general conference rooms.
